Gemini in Google Forms: What's New, Actionable Insights, and Alternatives (2026)

Google added actionable insights to Google Forms on November 5, 2026. Gemini now reads every response, runs its own calculations, and returns key takeaways with recommended next steps. It works across all question types, not just text answers.
This guide covers what changed, how the feature works, what a form needs before insights appear, and which plans include it. It ends with alternatives for teams that need a full survey report or deck. Every detail comes from Google and vendor pages read on November 6, 2026.
What Google announced on November 5
The Google Workspace Updates blog posted the news on November 5, 2026. The post is titled "Get actionable insights with Gemini in Google Forms."
Its main claim is about speed. The post says Gemini will "analyze your form responses, uncover key trends, and recommend next steps so you can act on your results faster."
The method is the bigger change. According to the post, "Gemini analyzes your responses by writing and running Python code." That means counts, percentages, and comparisons come from calculations on your actual response data.
Gemini also looks across questions. The post says it "spots patterns and cross-question correlations to reveal how different answers connect." It then summarizes the main takeaways and suggests next steps.
Google lists three common uses:
- Event and product feedback. See what people valued most and where to improve.
- Research surveys. Spot trends and patterns across responses.
- Registration and application forms. Get a clear picture of who is signing up or applying.
How actionable insights work in Google Forms
The feature lives in the Responses tab. Google's help article lists the steps:
- Open a form in Google Forms on your computer.
- At the top, click Responses.
- Find the Actionable Insights section.
- Click Generate insights.
- To see how Gemini reached its results, click Analysis steps.
The output has three parts. The help article names them as "Executive Synthesis," "Advanced Analysis & Correlations," and "Recommended Next Steps."
You can rate each result as a good or bad suggestion. You can also click Retry to generate a new set of insights.
The Analysis steps view is worth opening. Since Gemini writes code to get its numbers, this view shows how a figure was produced. That makes it easier to check a surprising percentage before you share it.
What a form needs before insights appear
Actionable insights don't work on every form. The help article sets four conditions:
- At least 12 responses. The article says "Your form must have a minimum of 12 responses and 3 questions."
- At least 3 questions. Short forms with one or two questions won't qualify.
- No quiz mode. The feature isn't available when you turn on "Quiz settings."
- Access to any linked sheet. If the form links to a sheet you can't open, the feature won't run.
These limits are easy to miss. A short pulse survey or a graded quiz won't show the section at all. In that case, the older text summaries may still work.
Other Gemini features in Google Forms
Actionable insights is the third Gemini feature for responses. The first two still work, and each has its own limits.
Text summaries (2025). In June 2025, Google introduced AI summaries for short-answer and paragraph questions. Today, the help article says summaries appear "once there are 3 to 200 responses." They aren't generated for quiz responses or for direct questions like names and addresses.
Theme percentages (February 2026). On February 24, 2026, Google added counts and percentages across themes in text responses. The help article says this "works best with 8–200 responses." Clicking See theme percentages opens a new Google Sheet with a pie chart and a theme count.
Actionable insights (November 2026). This one covers all question types. It looks at the whole form at once, not one question at a time.
| Feature | Added | What it covers | Response range in the help article |
|---|---|---|---|
| Text summaries | June 2025 | One text question at a time | 3 to 200 responses |
| Theme percentages | February 2026 | Themes in text answers, opened in Sheets | Works best with 8–200 |
| Actionable insights | November 2026 | All question types together | Minimum of 12 responses and 3 questions |
Rollout dates and plans
Google is rolling the feature out in two waves. The blog post gives these dates:
- Rapid Release domains. A gradual rollout started on November 2, 2026. It can take up to 15 days for the feature to appear.
- Scheduled Release domains. The same gradual rollout starts on November 19, 2026.
The post lists these plans:
| Plan type | Plans listed by Google |
|---|---|
| Business | Business Standard and Business Plus |
| Enterprise | Enterprise Standard and Enterprise Plus |
| Education | Education Plus |
| Consumer | Google AI Pro and Google AI Ultra |
| Education add-ons | Google AI Pro for Education; Teaching and Learning Resources |
For consumers, Google's plan page lists Google AI Pro at $19.99/mo, or $199.99 per year. Google AI Ultra starts at $99.99/mo and is billed monthly only. Google AI Plus, at $4.99/mo, is not on the list for this feature.
Workspace prices depend on your plan and region. Google's Workspace pricing page did not show prices in our check, so confirm them with Google before you buy.
How admins turn it on
Most work accounts need one setting checked. The blog post says users "need to have smart features and personalization turned on" to use Gemini in Workspace side panels.
Admins can turn on the default personalization setting in the Admin console. After that, eligible users see the section once the rollout reaches their domain.
There are no new controls just for actionable insights in the post. If your users can already summarize text responses, they should see the new section during the rollout window.
While you wait, the older tools in Google Forms still work. Text summaries and theme percentages are already live for eligible plans. Teams on Scheduled Release can use them for current surveys and try actionable insights after November 19. It is also a good time to review open forms. Check that feedback forms are not set as quizzes, and that linked sheets are shared with the right people.
How to get useful insights from a form
Gemini can only work with what the form collects. A few design choices make its output more useful.
Mix question types on purpose. Cross-question correlations need something to connect. Pair a rating question with a choice question, such as role, plan, or region. Then Gemini can show how scores differ by group.
Keep answer options consistent. Use the same scale wording across rating questions. "Very satisfied" in one question and "Excellent" in another makes comparisons harder to read.
Add one open question. A short "What should we change?" field gives the text summaries and themes something to work with.
Wait for enough responses. Twelve is the minimum, not a target. Results from a few dozen responses are steadier.
Read the analysis steps. Open them for any number you plan to quote. They show which answers Gemini counted and how.
Turn off quiz mode for feedback forms. A feedback form built from a quiz template won't show the section.
What it means for survey reports
For many teams, the first read of a survey now happens inside Google Forms. That changes the order of work.
Before, the usual path was to export to Sheets, build pivot tables, and then write the summary. Now Gemini produces the summary and the cross-question view first. You decide which findings deserve a closer look.
The feature does not replace the report itself. It gives you takeaways and next steps on screen. It does not build a branded document, a slide deck, or a chart pack for stakeholders.
Many teams also combine sources. A customer survey often sits next to NPS scores, support tickets, or interview notes. Forms only sees its own responses.
Here is how the pieces fit for a typical event feedback form:
- Generate insights in Forms. Read the executive synthesis and the correlations section first.
- Check the analysis steps. Confirm the two or three numbers you plan to repeat.
- Open theme percentages. Use the Sheets pie chart for the open-text question.
- Decide on the next steps. Treat Gemini's recommendations as a draft list, then assign owners.
- Build the report. Move the confirmed numbers into the document or deck your audience expects.
Our guide to creating a survey results report covers the full report. For rating-scale questions, see how to analyze Likert scale data.
Limits to keep in mind
Google adds a standard caution to every Gemini feature in its help article. It says Gemini features "may suggest inaccurate or inappropriate information."
A few practical limits follow from the help article:
- Small samples. A form with 12 responses meets the minimum, but percentages from 12 people move a lot.
- Quizzes are out. Teachers using quiz mode won't see the section.
- Text summaries stop at 200 responses. Large forms lose the per-question summaries.
- No saved summaries. The help article says generated text summaries "aren't saved," so copy them out.
None of these limits is unusual for a new feature. They do mean a human should still read the raw responses before a big decision.
Alternatives to Gemini in Google Forms
Other tools offer similar AI analysis, either inside a form builder or from an exported file. Details come from each vendor's page on November 6.
| Tool | How it analyzes responses | Plan needed, per the vendor |
|---|---|---|
| Gemini in Google Forms | Actionable insights in the Responses tab | Eligible Workspace or Google AI Pro / Ultra plan |
| Microsoft Forms with Copilot | Insights summary in Forms | A Microsoft 365 account and a Copilot license |
| Powerdrill Bloom | Upload exported responses as CSV or Excel | Free plan; Pro $13.27/mo |
Microsoft Forms. Microsoft's support page says Copilot "can quickly analyze your form results into an insights summary with actionable steps." It adds that you can ask follow-up questions about the data. The same page says you need "a Microsoft 365 account and a Copilot license."
Spreadsheet analysis. Any form tool can export responses. That lets you work from a CSV in the analysis tool you already use.
Where Powerdrill Bloom fits
Some survey work ends in a deck for leadership. Others need several sources in one view. Powerdrill Bloom starts from exported files and returns finished outputs.
The AI Research Synthesis Tool says it can "Combine surveys, interviews, secondary research and data into one synthesis." The Voice of Customer Summarizer rolls "surveys, reviews, NPS, tickets" into themed insights.
Exports include a branded PDF, a deck, or a canvas link. That makes it a fit for the step after Google Forms gives you the first read. The pricing page lists a Free plan at $0.00 and Pro at $13.27/mo.
